Questions about the documentation for Trail Grant in Aid form

  1. Was the Drag for $800.00 approved?
    1. No, but need to document the year purchased so that we can use it for future groomer usage.
    2. Always over document.

We need to GIS/GPS compliant by April 2007. Two gentlemen were mentioned that can do the GPSing for us, Phil ? and Dave DeShaw.

Some documentation has been done on GIS maps thru Jim Vanvalkenburg.

State to ok laptops and we can write it against Cap $

Do we have a certificate of insurance? It is a separate sheet.

We now have three trail coordinators. Mike Hawkins, Mike Rhodes and Brian LaClair.

2006-2007 Membership is from August 1st 2006 to July 31st 2007.

We need to purchase more signs for the 2006-2007 year for better markings of the trails.

The annual party was successful; we made about $450.

Options for 2006-2007 party:

  • Use a DJ instead of a band
  • Talk up the items that were donated more
  • Group items by $ amount, i.e. $1.00 items on one table and $5.00 items on another.
  • Sell raffle tickets and door entry in several different bundles, i.e. $15.00, $25.00 and $35.00.

We have bylaws and they state that all elected positions are for a 2 year term.

At all meetings we will be having a free pizza and a 50/50 raffle.

Issues that need addressing are placing new members on a team w/a trail coordinator.

We are sending 5 people to the Forum in Watertown the weekend of April 7th – 9th.

Per Debbie Barnhart the treasurer’s report is:

  • 3116 in checkbook to start
  • 65.35 paid to Hendrickson
  • 2415 from Chenango
  • 200 from registration
  • Ending balance $5266

The Broome County check should be $4322 we need to pay on promise loan and purchase a scandic.

We would like to pay off loan to Kenny Westfall for previous purchases.

The Alpine won’t start. Bryan estimates a motor for it would cost $300 - $400. Do we want to sell it or not? It could become a money pit.

Maps for 2006-2007, Need to put up signs on the doors to advertise that there are trail maps available inside the Oxford Quickway. When collecting maps there was $ missing. Maps are in 15 locations.

At our next meeting we will be holding elections for a Board of Directors position and the position of Secretary.  Discussed if we thought that we needed a Membership chair? Decision was made that we did not need one at this time.

For the April 3rd meeting we need the Trail Coordinators to come back with a 2006-2007 plan for improvements, sign orders, and any projects.

NY State is discussing taking money away from snowmobile associations for the general fund.

We discussed the need for more road crossing signs that would name the actual roads that you are at.  This would make it easier for travel as well as for an EM squad to find an injured person. The Hitchin Post/Silo signs need modifications. Trail Coordinators are to collect signs and know what we need to replace for next meeting.

The club goals are to have all trails fixed and updated before hunting season starts, signed before December 1, 2006 and first fall meeting in September 2006.

Discussed putting in a super bridge this year at Hunt Hill Road 5-8ft wide

We need landowners list from Trail Coordinators, written or oral with two witnesses.  Joel asked that people walk the trails this summer. Dave Norton and Rick Osterhout are not getting very far with the increased mileage on proposed Chenango Forks trail.

Mr. Belcher was to walk the old trail with them but is not cooperating. Perhaps he is in Florida they cannot get a hold of him.
